Job Summary
Support the offices of Enrollment, Campus Ministry, and Lifelong Learning (currently known as the Academy for Faith and Leadership [AFL]). Greet prospective students and other visitors to the seminary. The workflow for AFL is heavier during the week before and the week of on-campus intensives, twice a year. The position is full-time.
Essential Functions
Welcome Coordination
- Answer the main seminary phone line in coordination with the Assistant to the Rector and Dean.
- Welcoming interruptions as people enter Price House and need support to find people on campus.
- Offer tours of the campus in coordination with the Enrollment office.
- Coordinate with campus food service, the guest housing office, caterers, and others to support community life and hospitality on behalf of Enrollment, Campus Ministry, and Lifelong Learning
- Edit and distribute a weekly “Seminary Update” or similar communique to students, faculty and staff.
Administrative Assistance
Enrollment: approximately 50% of the position
Lifelong Learning: approximately 40% of the position
Campus Ministry: approximately 10% of the position
- Manage an annual calendar of events related to these offices and assist administrators to plan, offer, and assess those events.
- Create reports and maintain records for these offices.
- Assist the Enrollment Coordinator with financial aid awards.
- Purchase office supplies, SWAG, etc., on behalf of these offices and monitor budget lines.
- Assist in the production of timely and fresh content on the LTSS website and social media accounts for these offices.
- Support seminary worship by keeping the schedule of worship leaders, receiving information from leaders, producing bulletins, sending email announcements to the community via Constant Contact, and so on.
- Schedule meetings, travel, and other logistics as requested for these offices.
- Support the current certificate programs of AFL:
- Manage registration for AFL programs, including payment of registration fees.
- Arrange refreshments, etc. during intensives.
- Manage paperwork associated with payments of honoraria to AFL instructors and mentors.
- Assist AFL instructors with teaching/learning resources (e.g., copying handouts, making other resources available to participants).
- Assist in marketing and communications of programs.

Communicate with excellence in written and oral form. This includes proficiency in spelling, grammar, and punctuation. The Administrative Assistant must also be able to track communication (and be very responsive) across multiple channels without losing any details. Those channels could include in-person meetings, virtual video calls, Slate, Microsoft Teams, text messages and/or emails. - Hospitality
