Position Title: Library Specialist for Administrative Support
Department: University Libraries
Reports to: Director of Lineberger Memorial Library
Wage Class: Non-exempt
Location: Columbia, SC

General Description/Primary Purpose

Contributes to excellence in library services through provision of administrative support, office management, and library services. Works effectively with faculty, staff, and student library assistants to ensure the advancement of the library’s mission and vision. Operates within the guidelines of applicable laws, national library protocols, and university and library policies and procedures. Some night and weekend hours may be required. This is a full-time, 12-month, 40 hour per week position.

Specific Job Functions

General Administrative Support

  • Provides general office management support including word processing, scanning, filing, and duplicating
  • Monitors office and library supplies; orders materials as needed
  • Accurately prepares general correspondence, reports, and miscellaneous materials as requested by the director
  • Screens requests for use of library spaces, consulting with the director in questionable cases; maintains events on a shared library calendar, and prepares signage for rooms as appropriate
  • Hires, trains, schedules, and evaluates student library assistants as authorized by the director
  • Serves as liaison to the facilities department, monitoring building conditions and reporting issues as needed, and following up on their resolution
  • Serves as liaison to the IT department, reporting technology issues to IT Help Desk and following up on their resolution
  • Troubleshoots and provides for the general maintenance of printing, scanning, and copying devices in the building

Budgetary Support

  • Reconciles official budget reports with internal records to ensure that charges are accurate and assigned to the correct object code
  • Assists Director in the planning of annual budget projections and requests
  • Processes payroll for hourly employees
  • Submits invoices to the business office for payment
  • Serves as liaison to the business office on most library matters

Library Services

  • Oversees circulation processes, including those related to patron records, overdue materials, and fines
  • Processes interlibrary loan and cluster sharing requests, collaborating with the Hickory campus library as needed
  • Processes course reserve materials
  • Creates signage for the building related to hours, events, and collections
  • Opens and/or closes the library building as scheduled
  • Works designated weekly hours at the Service Desk as needed, assisting library patrons with their information needs, referring substantive research assistance requests to the librarian
  • Supervises the library in the night and weekend rotation as necessary

Additional Duties and Tasks

  • Contributes to special library projects as needed
  • Cares for the various plants in the building
  • Keeps current with basic library services and technology tools (website, online catalog, databases, etc.), requesting additional support or training when needed
  • Takes advantage of appropriate training/professional development opportunities relevant to position responsibilities, especially those offered in-house or online
  • Fulfills university expectations for campus or community participation
  • Performs related duties as assigned
Required Knowledge, Skills, and Abilities

Education: Bachelor’s degree required

Experience

  • Minimum of 3 years of full-time employment, preferably including experience with office management and a library environment
  • Strong computer and internet literacy, including fluency with MS Word, Excel, cloud-based applications, and social media
  • Excellent ability in book-keeping, record-keeping, and general office skills
  • Ability to work independently, seek guidance when needed, and collaborate with other members of the library team
  • Ability to maintain professional poise and confidence in varied situations, often interacting with faculty, staff, and external contacts
  • Strong commitment to providing excellent user services
  • Strong communication and interpersonal skills
  • Honesty, integrity, and intellectual aptitude
  • Preferred: Experience with library catalogs, online databases, integrated library systems, interlibrary loan systems, and other library technology
